Requirements

The agency needs ready access to client assets in addition to its own. Clients, in turn, must be able to self-serve what they need so they don’t need to manage DAM software themselves.

The offering shall be tiered and provide different levels of access: Free read-only access to files for facilitating data exchange with all clients, and branded portals with edit permissions for larger clients. (The agency expects to start with four such clients.) Upgrading client tenants to completely separate instances must be an option.

All standard creative file formats must be supported. In addition, support for Microsoft Office files is required so the agency can manage its client contracts, planning spreadsheets and presentations, right alongside client files.

Security features must ensure that the files of one client are never accessible to other clients. Agency files must be private to the agency, but they must also be able to share files with one or more clients.

Accounts for clients and freelancers must be easy to configure and manage. When an account is disabled, access to all assets must be instantly revoked.

Clients who lack the rights to download certain files must be able to request those downloads through the system. Whether approved or denied by the responsible party, the requester must be notified automatically.

When files are shared outside the system, the landing pages on which recipients pick up their files must be branded for the associated client.

The management of all agency and client files should be possible from a single system that’s Web-accessible from anywhere.

It must be possible to gather usage statistics for each client so the agency will be able to offer custom billing.

Future Expansion

Though the agency plans to host all client files on a shared system today, as they acquire larger clients, they want to be able to offer those clients their own discrete databases while still managing all from a single system.
